RAYUS Radiology is looking for a Front Office Supervisor to join our team. We are challenging the status quo by shining light on radiology and making it a critical first step in diagnosis and proper treatment. Come join us and shine brighter together! As a Front Office Supervisor, you will manage the Front Office Associate teams; including operations, staff management, performance management and process improvements for assigned location(s). Ensures the team is delivering the highest level of service. This is a full-time position working 40 hours per week. Shifts are from 7:30am-4:00pm.
ESSENTIAL DUTIES AND RESPONSIBILITES:
(35%) Team Management
- Supports associates ensuring highest level of patient satisfaction
- Ensures comprehensive knowledge of the company's policies and procedures for all associates
- Establishes associate schedules to provide for planned time off, ensuring appropriate staffing levels and adequate center coverage
- Monitors and approves timecards
- Participates in staff planning and hiring process along with management
- Initiates and participates in associate performance evaluations, compensation and development of associates including performance improvement plans, disciplinary actions and/or terminations
- Leads regular staff meetings and associate one-on-ones
- Develops and monitors the teams' performance through QA process
- Implements training program for new associates
- Fosters a team environment, ensuring appropriate communication between departments
- Creates and updates center's information manuals as needed
(30%) Registration
- Greets and checks-in of patients scheduled for imaging services; processes payment as needed
- Answers phones and handles calls in an efficient and friendly manner
- Fields calls appropriately for center associates
- Acts as liaison between technologists and the patients waiting for exams and relays messages regarding scanner status and other clinic information
- Maintains front office lobby area by straightening magazines, organizing coffee supplies and assisting with general office clean up
- Orders office supplies as needed
- Maintains supply of patient information sheets
- Pushes imaging via electronic interfaces
- Completes confirmation calls and provides preparation instructions to patient
- Faxes reports, billing information, and medical release forms as requested
(30%) Scheduling & Insurance
- Schedules patients and enters orders
- Checks all exams for pre-certification with patient's insurance company
- Uses knowledge of insurance carriers (example Medicare) and procedures that require waivers to obtain authorization if needed prior to appointment
- Handles release of information requests for patients, referring offices, other medical facilities, attorneys & insurance companies following Company guidelines
- Assists with arranging interpreter services, transportation and hotel accommodations for patients when appropriate
- Maintains an up-to-date and accurate pending-scheduling list
- Maintains an up-to-date and accurate database on all current and potential referring physicians
